Sometimes it can be hard to know what to expect when going into an important meeting. Good news — AI tools can be your thought partner, expanding your knowledge so you can guide the conversation with confidence. 

Discover five ways AI can help you master your upcoming meeting.

1. Get to Know Meeting Attendees

Whether you’re pitching to a company or meeting with an individual, AI tools can quickly gather and summarize insights about your conversation partner. Ask AI about recent news, coverage, financials, or social media activity. Armed with these details, you’ll be better prepared to personalize your conversation and offer up relevant talking points. 

A quick word of caution: We all know generative AI has a tendency to hallucinate (aka make stuff up!). Make sure to check AI’s sources and verify critical details so you’re not left floundering with incorrect info.

Try this sample prompt: “I have an upcoming meeting with [Company Name] and [Attendee Names]. Please provide a summary of the business, including recent news, updates, and relevant coverage. Additionally, gather insights on each attendee, including their role, recent professional activity, and any notable social media posts or thought leadership they’ve shared.”

2. Get Smart on Key Topics

Going into a meeting, you want to have a strong understanding of whom or what you’ll be talking about. AI can be that get-smart-quick tool on potential company competitors, emerging industry trends and challenges, or technical topics you need to brush up on. Use tools like ChatGPT and Claude to scan industry news, reports, and competitor websites for relevant topics to craft questions around and details to add to your discussion.

Try this sample prompt: "I have an upcoming meeting in the [Industry Name] space with [Company Name], and I need a quick yet comprehensive understanding of the latest trends, key competitors, and emerging challenges. Can you summarize recent industry news, market shifts and challenges, and any notable reports or insights?”

3. Meet Before Your Meeting

Practice makes perfect. Take advantage of AI’s interactivity and have it simulate conversation ahead of time, acting as an investor, journalist, or potential client so you can practice and refine your responses in real time. Or, if you just want to get a better idea of what to expect, ask your AI tool to suggest common questions based on the context of the meeting. For example, if you’re heading into a job interview, AI can prep you with potential interview questions and follow ups.

4. Analyze Your Talking Points

AI can help you structure your main points, ensuring you stay on message and deliver a clear, compelling narrative. One of our favorite ways to make sure our messaging is airtight is to ask AI to poke holes wherever it can find them. Do this and you’ll have answers at the ready for whatever your conversation partner might throw at you.

Try this sample prompt: “Review my talking points for [Upcoming Meeting] and provide feedback on their structure, clarity, and persuasiveness. Identify any weak points or potential objections a listener might raise, and suggest ways to strengthen my messaging.”

5. Perfect Your Follow Ups

What you do after the meeting can be just as important as the meeting itself. AI can help you draft personalized follow-up emails, thank-you notes, or proposals based on your discussion. Want to keep the conversation going? Ask AI for suggestions on relevant news articles, blog posts, or case studies you can share after the meeting. 

Keep it authentic, though — no one wants to be thanked by a machine, rather than a person. AI should always be a starting point, not the end product.
